We are seeking an energetic and experienced Contract Fundraising Event Coordinator to deliver multiple events each year that raise funds critical to sustaining our mission while inspiring and engaging participants more deeply in our mission. The position reports to the Executive director. 

Key Overall Responsibilities: 

• In partnership with the Executive Director, develop and implement the annual event fundraising plan that moves AJH toward its vision, in collaboration with staff, Board of Directors, supporters and community stakeholders. 

• Coordinate 4-5 annual special events, including the organization’s spring and fall signature fundraising events and other external third-party and community-led events. 

• Deliver donor-centered communications for events and an annual year end giving appeal.

• Maintain relationships with donors, corporate sponsors, vendors and partners associated with the events and campaigns. 

Fundraising Operations: 

• Assist with the development and implementation of the annual fundraising plan around events

• Maintain fundraising events calendar for the development team 

• Maintain records of donor, participant, and sponsor contact in E-Tapestry database, and implement and project management through Asana. 

• Provide support for communications with event guests, sponsors, donors and prospects 

Special Events: 

• Coordinate the organization’s signature fundraising events, including the spring annual membership meeting (May), summer community wellness 5K race and block party (June), community Juneteenth celebration (June), and the fall annual awards benefit (Oct) 

• Coordinate the implementation of the organization’s two largest annual fundraisers, currently the Summer Community Wellness 5K (in-person) and the Annual Fall Benefit (likely virtual) 

• Maintain relationships with Community Wellness 5K contacts and renew their support each year; recruit and solicit new corporate sites; recruit team captains, secure new sponsors

• Responsible for the logistics of fundraising events, including working with staff in coordinating volunteer recruitment, building relationships, day-of-event event production & management 

• Work with AJH staff to create event-specific and year-end giving direct mail and email lists from the donor database 

• Recruit, market, coordinate, and track event attendance for all events 

• Support the coordination of event logistics for AJH’s annual meeting (May), Juneteenth celebration (June) or other smaller cultivation & recruitment events 

• Recruitment and solicitation of individuals and businesses for sponsorships, auction/ raffle items, and in-kind contributions for events; Provide corporate sponsor fulfillment and other partner obligations

• Coordinate contracts with event vendors and in-kind donors 

• Work with staff and committees to prepare budgets; forecast income and expenses for your events and secure fundraising event goals 

• Track and report on event fundraising results and participant involvement 

Events Communications & Marketing: 

• Assist with writing and posting about events and third-party campaigns on AJH social media platforms • Manage virtual production for the annual fall benefit and other events as needed to adapt in wake of Covid 19’s evolving safety needs and priorities  

• Manage the creation and design direction of event-specific communication pieces 

• Assist in the creation of marketing briefs for each event; complete design request forms for graphic designers; manage relationships with designers, printers and other marketing vendors for event collateral and signage (digital and/or print) 

• Participate in the development of new ways to welcome, engage and reward donors for their participation and commitment to A Just Harvest 

Qualifications: 

• Strong passion for the mission and community 

• Previous experience in fund development, community organizing, event management, fundraising events, project management, marketing, communications or equivalent 

• Exceptional interpersonal and communication skills, including an ability to communicate clearly in verbal and written forms, as well as forge and maintain relationships with event stakeholders 

• Demonstrated ability to work autonomously, as well as contributing to a cohesive team environment

• Ability to successfully manage multiple priorities and meet internal and external deadlines

• Skilled in developing work plans with tasks and tactics that achieve strategic goals and outcomes for each event and the organization 

• Experience with or ability to learn CRM’s, E-Tapestry preferred; Experience with Microsoft Office, Google Suite or equivalent required; Social media, Asana, digital fundraising or marketing platforms helpful. 

Compensation and Hours: 

• Contracted, Part-time hours; with additional hours leading up to day of events 

• Flexible schedule; Remote optional with limited in person event requirements; Positive collaborative work environment
